Privacy Policy

This Privacy Policy ("Policy") describes how Case Portal LLC ("Case Portal," "we," "us," or "our") collects, uses, discloses, and protects personal information gathered through our marketing website located at caseportal.ai (the "Site"), through applications for access to our platform, and through our text messaging (SMS) communications.

This Policy does not govern product data. Personal information and other data that our customers submit to, or process through, the Case Portal platform in the course of using our services ("Customer Data") is governed by the applicable customer agreement (e.g., our Master Services Agreement or Data Processing Addendum) and any notices our customers provide to their own end users, not by this Policy. If you are an end user of a Case Portal customer and have questions about how your information is handled within the platform, please contact that organization directly.

We do not knowingly collect Customer Data through the Site. If you submit Customer Data to us through a contact form, text message, or email by mistake, please let us know so we can assist in deleting it.

4. SMS / Text Message Data — Special Provisions

If you text our team, or continue a text conversation initiated by you or one of our representatives, you may receive text messages from Case Portal relating to your inquiry or application, including questions, updates, scheduling, and other communications relevant to your engagement with us ("Program"). Message types may be conversational (back-and-forth with a member of our team) or informational (one-way updates related to your inquiry or application).

4.2 How You Consent

You consent to receive text messages from Case Portal by texting our business phone number to initiate a conversation, or by continuing to message with our team after we respond to a message you sent. This is a form of implied consent based on your own initiation of, or continued participation in, the text conversation. We do not add phone numbers to this Program from other sources, and we do not require SMS consent as a condition of receiving any service from us.

4.3 Message Frequency

Message frequency varies depending on the nature of your inquiry and the pace of your conversation with our team. You should expect messages only in direct response to, or as a continuation of, a conversation you engaged in with us.

4.4 How to Opt Out — STOP Command

You may opt out of text messages from Case Portal at any time by:

After texting STOP, you will receive one final confirmation message, and no further text messages will be sent to that number. We maintain a suppression record to ensure opted-out numbers are not contacted again via SMS. Opting out of SMS does not affect your ability to otherwise receive information from us or apply for access to our platform.

For help or information about our text messaging, reply HELP to any message. You will receive a response with contact information and opt-out instructions.

4.6 Message and Data Rates

Message and data rates may apply. Messaging charges are applied by your mobile carrier and are not collected by Case Portal. Please check with your mobile carrier if you are unsure about your messaging plan. Carrier coverage is not guaranteed in all areas, and Case Portal is not liable for delayed or undelivered messages.

4.7 No Sharing of Mobile Opt-In Data for Marketing

No mobile opt-in or text message consent will be shared with third parties or affiliates for marketing purposes. Mobile numbers collected through our text messaging Program are not added to marketing lists or shared with data brokers.

4.8 Consent Record Retention

We retain records of your consent to receive text messages — including the date, time, and method of consent — for a minimum of four (4) years from the date consent was obtained, or until the applicable statute of limitations period expires, whichever is longer, consistent with industry best practices for SMS compliance recordkeeping. Suppression records reflecting an opt-out are retained indefinitely.
